USE OF ARTIFICIAL INTELLIGENCE (AI)
We use certain artificial intelligence (AI) tools in our services to help provide faster support and to improve how you set up and configure our platform. These AI tools are designed to support your decision‑making and do not replace your own judgement. You remain responsible for reviewing and approving any suggestions before you rely on them.
As part of our customer support service within the platform, you may interact with an AI‑powered bot provided by our third‑party supplier Zendesk. The AI bot searches our knowledge base and your existing support context to suggest possible answers and solutions to your query. When you use this feature, we will clearly inform you in the interface that you are interacting with an AI system and not a human agent, and you may choose to request human support instead (although we may use the bot to help route your query).
We also use AI functionality developed by us to improve customer onboarding and our settings functionality. This AI analyses information you provide in the platform (for example, answers during onboarding and configuration choices) and may use aggregated, historical usage patterns to generate recommendations for project and programme set‑up or default settings. These outputs are suggestions only and you decide whether to accept, modify or ignore them.
We use AI as described above to provide and improve our services and to help you configure and use the platform efficiently. We rely on our legitimate interests in operating and developing our services and, where applicable, the performance of our contract with you as the legal bases for this processing. Any personal data processed by Zendesk or other AI providers on our behalf is handled under data processing agreements that include appropriate confidentiality, security and, where relevant, international transfer safeguards.
You have the same data protection rights in relation to our AI‑enabled features as for all other processing described in this privacy policy, including the rights of access, rectification, objection and restriction. We do not currently carry out automated decision‑making using AI that produces legal effects or similarly significantly affects you; if we introduce such processing in future, we will provide additional information and, where required by law, offer you the possibility of human review.
We may use your Data for the above purposes if we deem it necessary to do so for our legitimate interests. If you are not satisfied with this, you have the right to object in certain circumstances (see the section headed "Your rights" below).
For the delivery of direct marketing to you via e-mail, we'll need your consent, whether via an opt-in or soft-opt-in: a. soft opt-in consent is a specific type of consent which applies when you have previously engaged with us (for example, you contact us to ask us for more details about a particular product/service, and we are marketing similar products/services). Under "soft opt-in" consent, we will take your consent as given unless you opt-out. b. for other types of e-marketing, we are required to obtain your explicit consent; that is, you need to take positive and affirmative action when consenting by, for example, checking a tick box that we'll provide. c. if you are not satisfied about our approach to marketing, you have the right to withdraw consent at any time. To find out how to withdraw your consent, see the section headed "Your rights" below.
